Will Quickbooks Pro email invoices?

Will Quickbooks Pro email invoices? Not Really 07-09-2009

I'm considering purchasing Quickbooks Pro. I'm Treasurer of a small
non-profit and need to send one invoice a month to each of 15 people
for dues, equipment use, expenses, etc. I am currently using Zoho
Invoice, an online service, because I complete an invoice, click
"email" and it's sent (all 15 members want their invoice emailed).
But Zoho does not tie in to any other record keeping I am doing. I
think Quickbooks is the comprehensive system I need.

I have searched this forum for messages about emailed invoices, and
all of the threads that come up are from 2001 and 2002.

I'm assuming Quickbooks will produce the invoice as a PDF. Will I
have go into my email and compose a message and attach the pdf for
each one? Can it send them as a batch?

I use Gmail. If Quickbooks is able to send a batch of email, does it
require Outlook?

Any help will be appreciated.

It is amazing how little information one can find on the Quickbooks
site about the product's functionality, put pages about how much time
it will save.

Hi Rick,

Yes, QB Pro will e-mail your invoices. It does require Outlook or Outlook
express/windows mail (vista). You can setup your gmail account as a
pop3/imap account in either program so that you can send the invoices.

I don't think it will mail the invoices in batch. you will need to create
each invoice (they can be memorized) and e-mailed one at a time.

As for composing a message --- you can set up a generic message that will be
included in the body of the e-mail message.

This is not totally automated but for 15 invoices I don't think it will take
that much time each month.

Laura,

Thank you for quick and comprehensive reply!

I have Outlook installed and I'm sure it will not be a problem to
configure it to go through Gmail.

I assumed Quickbooks could send an invoice by email, but I didn't want
to buy it and then find out otherwise.

        Yes, QuickBooks will e-mail your invoices. And, again, yes you'll need
MS Outlook and/or Outlook Express.

        That's the standard. Intuit is about taking your money, not providing
any real help or information. You'll receive infinitely more practical
help and advice on this newsgroup than you'll ever get from Intuit.

Rick,

You should also look at QB Online. I actually use it for my own
business, rather than the desktop version. You have access to your
company information anywhere you have an Internet connection, and one
feature it has that people who use it (including myself) is the
ability to create recurring templates. If you send out essentially the
same invoice to a client each month, QBOE can completely automate the
process. It will create, deliver via email and send a copy to you for
each invoice. You can set each one to occur on a regular basis as well
as assign how long to send them out - say for 3 months, 6 months, etc.
You cam set it up instead to remind you and you would have the option
of reviewing each invoice before creating/sending.

The cost for a basic subscription is relatively low (I'm not positive,
but I believe $9.99/mo, with the first 30 days free.)

You also have the ability to download bank & credit card transactions
through the Online Banking feature, as well as iPhone access.

Also, for what it's worth, I'm not on Intuit employee, I actually own
my own bookkeeping company; I just have to disargee completely with
the opinion posted here that they only care about taking your money. I
know many project managers within the company as well as other
employees, and I can say each one that I've encountered is truly
concerned with making a good product & providing a good "customer
experience".
